Organisation

The O-Ringen Group's Organisation
The O-Ringen Group is appointed by the Swedish Orienteering Federation (SOFT) and forthcoming O-Ringen organisers.

Committee members (minimum 8 and maximum 12 members) are:
- A representative from each and every nominated forthcoming O-Ringen organisation, ie 5 - 6 members.
- A representative from the most recently held O-Ringen, i.e. 1 member.
- Two representatives from SOFT, one from the governing board (chairman) and a representative responsible for O-Ringen from SOFT's marketing unit (secretary), i.e. a total of 2 members.
If the male/female ratio is uneven in the O-Ringen group it should be adjusted so that there are at least two representatives of each sex. If there are not at least two male and two female representatives as described above, the forthcoming organisers nominate a representative and SOFT nominate a further representative. Alternatively SOFT and the future organisers, together, nominate one single extra representative.

The O-Ringen Group has five sub-groups for co-ordination and preparation of specific questions. The groups are:
- Data Group
- Marketing and Information Group
- Equipment Group
- Academy Group
- Super Elite Group
The O-Ringen Group nominates a chairman and secretary for all the sub-groups. Both SOFT, the outgoing organisers and the forthcoming organisers nominate a representative in each sub-group.

Areas of Responsibility
Safeguard the stakeholders' interests. Ensure the transfer of experience and knowledge. For reference when nominating forthcoming organisers. Provide competence when following-up the organisation of O-Ringen. The O-Ringen Group is a forum for decision-making, so all members should have the authority from their governing bodies to make decisions. However decisions require consensus. A unanimous decision from the stakeholders is required in order to carry out a proposal. Items can also be postponed pending further investigation or a mandate from the stakeholders. Some questions can require a decision from SOFT's Board.

Preparation
Proposals requiring decisions can be put forward by the respective stakeholders or by SOFT's representative with responsibility for O-Ringen or by any of the sub-groups with special competence which are associated to the O-Ringen Group as described above. Where necessary the O-Ringen Group can form further sub-groups. In this context it can be noted that the O-Ringen Group does not have a preparative or operative role.

Economy
The O-Ringen group's meeting costs (telephone, board and lodgings) are financed by SOFT. Each governing body finances its respective travelling expenses in connection with meetings. However SOFT is responsible for the expenses of the outgoing O-Ringen's representative.
Financing of the sub-groups' activities is done according to the same rules as for the O-Ringen Group. Decisions concerning reimbursement of expenses in connection with proposals and investigations of items are made by agreement in the O-Ringen Group.

Miscellaneous
SOFT's representative with responsibility for O-Ringen prepares the nomination of forthcoming O-Ringen organisers. The O-Ringen Group processes the proposals. Four to five years prior to the event, an application to organise O-Ringen is sent to SOFT. The SOFT Board normally select an organiser in July four years prior to the actual event.

Agreement
A co-operation agreement, including economic matters, is established between SOFT and nominated O-Ringen organisers.

Follow-up
SOFT's O-Ringen representative is responsible for following-up the current O-Ringen event. Another person who follows up the technical aspects of the competition assists them. SOFT's O-Ringen representative is also the jury chairman during the event.

Manual
A manual has been produced to document O-Ringen's concept and also as a support for the preparation of an O-Ringen event. The title is "O-Ringen, från idé till slutrapport" ("O-Ringen, from idea to final report", written only in swedish). The manual, which can be downloaded as a pdf document,  may not be distributed without naming its source.

Data Group
The Data Group's purpose is to ensure that there is continual computer support for the O-Ringen's forthcoming organisers. In the short term a present system shall be developed, maintained and documented for the forthcoming O-Ringen.

Marketing and Information Group
 This group prepare marketing initiatives as well as information for the mass media. The O-Ringen newspaper, which is an important part of O-Ringen's marketing, has its own nominated editorial board.

Equipment Group
Specific equipment, which is used by the O-Ringen, is administered collectively through the agency of the Equipment Group.

Sponsor group
Supports work with the invitation etc. as well as contact with IOF. Contributes to transference of experience to forthcoming O-Ringen events.

Super Elite Group
Supports work with the format of the stages as well as the invitation, prize money etc.
